Automatic after-sales support: reply fast after the sale, without ever losing track
After buying, your customers have questions: an access link, a file, an invoice, how to use something. Answering quickly is part of the quality of your offer. Automatic after-sales support can handle it, as long as it knows what it deals with on its own and what it must leave to you.
What customers expect after buying
A customer who writes after a purchase wants one thing: an accurate answer, quickly. They do not want to explain again what they bought, or wait several days for a simple question. The quality of after-sales support plays a part in the decision to buy again or to recommend you.
The good news is that many requests are alike.
The requests that keep coming back
- Access: a link that no longer works, a forgotten login.
- Files: a document to resend, an updated version.
- The invoice: a copy, an address to correct.
- How to use it: how to get started, where to find a piece of information.
- Timing: when the service starts, what the next step is.
These questions have known answers. They are the first ones to hand over to automatic after-sales support.
Principle 1: link each request to the right order
An accurate answer starts with the right file. Before replying, the support must find the order, the invoice and what was delivered. Without that link, it answers in a vacuum, or asks the customer for information they have already given.
Principle 2: one ticket per request
Each request opens a single ticket that keeps the history: question, answer, follow-up. A customer who writes twice about the same subject should not create two files. You know at any moment what is in progress.
Principle 3: approved answers
Write the answers to common questions once, and approve them. The support relies on this base to reply, adapting it to each request. When an answer does not exist, it does not make one up: it passes the request on.
Principle 4: what always goes to a human
Some requests must never get an automatic reply:
- disputes and disagreements;
- refunds and goodwill gestures;
- delicate complaints;
- sensitive or personal requests.
The support recognises them, passes them to you with the context, and tells the customer that a person will reply.
Principle 5: the tone
Automatic after-sales support is still your voice. Replies must be clear, polite and worthy of your brand, without stock phrases that make people feel they are talking to a machine. And the customer must know they are dealing with an AI.
Improving your offer through after-sales support
The questions that keep coming back are valuable signals. If many customers ask how to get started, your guide deserves to be clearer. If access often causes problems, the delivery message can be improved. Support that keeps the history shows you where to act, without having to guess.
An example journey (fictional)
An imaginary designer of document templates sells her kits online. One Saturday, a customer writes in: the download link she received no longer works. The support finds the order and what was delivered, sees that the link has expired and sends a valid access link to the purchased files only. The customer gets her answer in the same thread, and the ticket is closed.
The following Monday, another customer asks for a refund: the kit is not what she expected. The support does not decide. It tells the customer that a person will reply and passes the request to the designer, with the order, the invoice and the history. The decision is hers.
Mistakes to avoid
- Replying without finding the order: the customer has to explain everything again.
- Making up an answer when the base does not contain one: passing it on is better.
- Handling refunds or disputes automatically: these are decisions, not answers.
- Opening several files for the same request.
- Hiding that it is an AI: transparency is part of trust.
Where to start
- Reread your latest customer emails and sort them: access, files, invoice, how to use it, timing, other.
- Write the ideal answer to the five most frequent questions.
- List the situations that must always come back to you.
- Check that every order keeps a record of what was delivered.
These four steps are useful even without a tool. They are also the foundation that automatic after-sales support needs.

Frequently asked questions
Can automatic after-sales support handle refunds?
No, and that is deliberate. Refunds, disputes and goodwill gestures are passed to you with the context: you decide.
How does Alex find the customer’s order?
He links the request to the order, the invoice and the files delivered, using the customer’s details and the history of your exchanges.
Does the customer know they are talking to an AI?
Yes. Alex always introduces himself as an AI, and a person takes over whenever the request calls for it.
How much does the After-sales support module cost?
€497, paid once, or included in the complete pack. VAT not applicable, art. 293 B of the French General Tax Code (CGI).
