AI agent for small businesses: what it is really for, where to start, and at what price
In a small business, the owner often does everything: selling, producing, invoicing, answering customers. An AI agent can take over some of these tasks, provided you choose the right ones. Here is a simple, jargon-free method to get started.
AI agent, chatbot, automation: what is the difference?
The three terms are often used interchangeably.
An automation carries out a fixed sequence of actions: when a form arrives, it creates a record and sends a standard email. It is reliable, but it does not understand what it reads.
A chatbot answers questions in a chat window, often from prepared answers. It helps with simple questions, but usually stops there.
An AI agent combines both: it understands a written message thanks to artificial intelligence, and it acts in your tools according to rules. It can read a request, reply to it, prepare a quote, suggest an appointment and follow a payment. That is the case with Alex, Work Without Me’s AI sales agent.
Small-business tasks that suit an AI agent
An AI agent is useful for tasks that come up often, follow clear rules and take time without needing your expertise:
- answering enquiries received by email, with your prices and your tone;
- following up leads and quotes that have gone unanswered;
- suggesting slots and booking appointments in your calendar;
- preparing quotes from your catalogue, with a payment link;
- sending the invoice after a verified payment;
- delivering the agreed files and answering common questions after the sale.
Start with the task that costs you the most time each week. It is often answering emails, or follow-ups.
What must stay human
An AI agent is not a business partner. Keep these for yourself:
- your core work: your jobs, your creations, your advice;
- negotiations and special terms;
- sensitive situations: complaints, disputes, refund requests;
- the big decisions: taking on a project, turning down a client, setting a price outside your price list.
A good AI agent recognises these situations and passes them to you with the context, instead of answering in your place.
Transparency: it must introduce itself as an AI
Your customers have the right to know who they are talking to. Article 50 of the EU regulation on artificial intelligence (the AI Act) requires that people be informed that they are interacting with an AI system, unless it is obvious from the context. In the version published in 2024, this rule applies from 2 August 2026. The text is available on EUR-Lex.
Alex always introduces himself as an AI, in his emails and on the phone.
Your data
An AI agent reads emails, contact details and sometimes orders. Before choosing, ask where the data is hosted, which providers have access to it and how long it is kept. At Work Without Me, the answers are in our privacy policy.
An example (fictional)
Imagine a three-person cleaning company. The owner spends his evenings answering quote requests received during the day, often the same ones: floor area, frequency, indicative price.
He starts with the Email sales agent. Alex replies to enquiries with the company’s price list, asks the useful questions (floor area, frequency, access to the premises) and suggests a visit when one is needed. Unusual requests, such as a clean-up after building work, are passed to the owner.
A few weeks later, the company adds Follow-ups, then the Quotes + Stripe payments module. The owner stays in charge of visits, large accounts and prices outside the price list; the rest moves forward while he is out on jobs.
Where to start
- Note down a week of repetitive tasks: how many emails, follow-ups, quotes, appointments?
- Choose a single step to start with, the one that frees up the most time.
- Write down your information and your rules: prices, lead times, answers to common questions, what must go through you.
- Try it on real cases before going live, then adjust.
- Then expand to the next steps of the sale.
The budget to plan for
At Work Without Me, modules are paid once. The ones small businesses ask for most: the Email sales agent (inbox sorting included) at €997, Follow-ups at €197, Appointment booking at €497, and Quotes + Stripe payments at €794.
To cover the whole sale, the complete pack costs €2,797 instead of €3,576 (save €779, −22%), and the Deluxe pack with the AI phone agent €3,757 instead of €5,573 (save €1,816, −33%). For hosting, the Standard plan runs on your own n8n account; the Fully managed plan is a subscription of €149, €390 or €1,490 per month depending on your volume, usage included. All amounts: VAT not applicable, art. 293 B of the French General Tax Code (CGI). The details are in the Pricing section.
Frequently asked questions
Is an AI agent suitable for a business of two or three people?
Yes. In a small team, the time spent answering emails and following up weighs heavily: that is often where an AI agent is most useful, starting with a single step.
Do I need technical skills to use Alex?
No. The Work Without Me team installs Alex, connects him to your tools and adapts him to your business. You define your rules and approvals with them.
Will my customers know they are talking to an AI?
Yes. Alex always introduces himself as an AI, and someone on your team takes over whenever necessary.
Can the rules be changed after going live?
Yes. Rules, approvals and limits can be changed with you: a new price, a different lead time, a step you want to keep in your hands.
