Replying to leads in under 5 minutes: why aim for it, and how to get organised

An enquiry lands in your inbox. The person may well have written to several businesses at the same time. The first useful reply sets the tone for the whole relationship. Here is how to make speed a habit, without sacrificing quality.

Why response time matters

When a prospect writes to you, they are thinking about their need right now. They have time, attention, sometimes even their calendar open. A few hours later, they have moved on: a meeting, another supplier, another priority. Replying while the interest is still there simply means meeting them at the right moment.

Speed also sends a message. A reply that arrives quickly and genuinely answers the question says: ‘you are in good hands here’. That is often what separates two comparable offers, long before price comes into it.

Five minutes is not an absolute rule. It is a target that forces you to get organised: knowing who replies, with what information, and what happens to enquiries that fall outside the usual. Even if you do not hit it every time, working towards it improves your whole sales process.

Fast does not mean rushed

A fast reply that misses the question does more harm than good. The prospect feels they are talking to a machine and has to ask again. A good first reply fits in a few lines and contains four things:

  • A personal greeting: their first name, and a sentence that shows you have actually read the enquiry.
  • An answer to the question asked: an indicative price, your availability, a format or a timescale, depending on what they wanted to know.
  • One or two questions to clarify the need: not a questionnaire, just what you are missing to make the right proposal.
  • A clear next step: a time to talk, a quote, a document to read.

This format works in almost every trade. A coach uses it to answer a question about a programme, a freelancer to talk about availability, a service business to say how soon it can come out.

Five levers for replying quickly

1. Bring enquiries together in one place

Website form, direct email, messages forwarded by a business partner: if enquiries arrive through several routes, some of them will inevitably wait. Route everything you can to a single inbox, the one that you or your assistant check first.

2. Prepare your core answers

Most questions come up again and again: prices, lead times, how things work, the area you cover, payment terms. Write the answers down once and for all, in a simple document. That is your knowledge base. It makes every reply faster and more consistent, whether it is used by you, a colleague or an AI.

3. Use templates, not canned replies

A template gives you a structure: greeting, answer, questions, next step. It can be personalised in a few seconds. A canned reply, copied and pasted without being adapted, is spotted straight away and puts the prospect off.

4. Set clear rules

Who answers what? Which enquiries can get an immediate reply, and which need your input? Above what amount or level of complexity is a meeting needed? Once these rules are written down, they prevent hesitation and stop enquiries stalling for want of a decision.

5. Decide what you delegate

Replying fast at any hour is not realistic if everything depends on you. Some replies can be handed to an assistant, a colleague or an AI sales agent, provided you give them your knowledge base, your rules and your limits.

A standard auto-reply is not enough

Many businesses set up an acknowledgement: ‘We have received your message and will get back to you shortly.’ It is polite, but it does not move the enquiry forward. The prospect knows that someone has received their message, not that anyone has understood it.

The difference lies in the content. A real reply draws on what the person wrote, answers their question and suggests what happens next. That is what a well-supervised AI sales agent can now do: read the enquiry in context, draw on your information and reply as you would, in your tone of voice.

What Alex does, in practice

Alex is Work Without Me’s AI sales agent. He is always presented as an AI. Once he is set up in your business, he:

  • reads incoming emails and the conversation thread, to understand each enquiry in context;
  • replies according to your offers, prices and tone, based on the information you have given him;
  • asks the questions that help qualify the need;
  • suggests the right next step: a meeting in your calendar, a quote, a Stripe payment link;
  • follows up at the right time if the person does not reply, and stops as soon as they reply or say no.

The actual response time depends on your settings and your email system. The idea is not to reply at any cost, but to stop enquiries waiting simply because nobody has had the time.

With the AI phone agent and Prospecting modules, Alex can also answer incoming calls, call back people who ask him to and look for new business contacts.

What stays in your hands

Replying fast does not mean delegating everything. You stay in control of what matters:

  • negotiations and special terms;
  • sensitive or unusual requests, which are passed to you instead of receiving an automatic reply;
  • the big decisions: taking on a project, setting a price outside your price list, turning down a job.

This split is what makes speed sustainable: simple enquiries move forward on their own, and your attention goes to the cases that deserve it.

Where to start this week

You can make progress without waiting for a new tool:

  1. List the ten questions your prospects ask most often, and write the ideal answer to each one.
  2. Draft a first-reply template in four parts: greeting, answer, questions, next step.
  3. Write down your rules: what can go out straight away, and what must go through you.
  4. Look at your latest enquiries: how long did they wait, and why?

These four steps are often enough to win back valuable time. And if you want to go further, they are exactly the foundation an AI sales agent needs to work the way you do.
