The 7 tasks that eat up a small business owner’s time, and how to put them on autopilot

By Jonathan, founder of Work Without Me

In a small business, your actual trade is only part of the day. Around it, seven tasks keep coming back, from the morning email to the evening invoice. Here is how to recognise each one, and how to lighten it without losing touch with your customers.

Seven tasks, one logic

When I talk with owners of small businesses, the same list keeps coming up. These are not difficult tasks. They are simply numerous and repetitive, and they always arrive at the wrong moment: during a meeting, on a job, at the end of the day.

They also have something in common: they follow rules you already know. That is exactly what makes it possible to hand them over, without changing the way you treat your customers.

1. Answering emails

It is the first task of the day, and often the last. A price request, a question about timing, a detail about a service: each reply means rereading the message, finding the information and writing it up properly.

How to hand it over. Gather your core answers (prices, lead times, how things work) in a single document. An AI assistant can then read each enquiry in context, reply in your tone and ask the useful questions. That is the role of the Email sales agent module (€997), which also sorts incoming emails to pick out genuine sales enquiries.

2. Following up

A prospect who has gone quiet, a quote with no reply, a late invoice: following up is the task we put off most readily. Yet late payments weigh on the whole economy: according to the 2025 report of the French Payment Delays Observatory (in French), published by the Banque de France, the average payment delay in France stood at 13.4 days at the end of 2025.

How to hand it over. Set a pace (a first message a few days later, a second one a little after that, then stop), and check before each message that the person has not already replied. The Follow-ups module (€197) applies this framework and stops as soon as the person replies, declines or pays.

3. Booking appointments

‘Tuesday at 10?’ ‘Thursday would be better.’ Arranging a slot by email often takes several messages, and each one delays the meeting.

How to hand it over. Offer the real free slots in your calendar directly, with your rules (length, time between two meetings, working hours). The Appointment booking module (€497) does this with no double booking, and gives the customer a link to reschedule or cancel.

4. Preparing quotes and taking payment

A quote means going back over the need, applying the right prices, checking the calculations, then following up the acceptance and the payment. For consumers in France, the DGCCRF points out that a quote is compulsory for certain services and must state its validity period: its practical guide to quotes (in French) sets out the rules.

How to hand it over. Start from a single catalogue and written pricing rules. The Quotes + Stripe payments module (€794) prepares an accurate quote, attaches a payment link and verifies the payment with Stripe before confirming the sale. Discounts and special terms come back to you.

5. Invoicing

After each payment, the invoice has to be produced, linked to the right order and kept. The framework for invoicing is also changing: according to the French Ministry of the Economy (in French), all businesses in France have had to be able to receive electronic invoices since 1 September 2026, and small and micro-businesses will have to issue them from 1 September 2027.

How to hand it over. Only invoice after a verified payment, and keep each invoice linked to its order. The Invoicing module (€297) does just that. For electronic issuing in 2027, check with your accountant and your approved platform how your invoicing will connect to it.

6. Delivering

For digital products, documents or kits, delivery means sending the right files, to the right person, once. Forget one, and a customer is left waiting; get it wrong, and a file goes to someone who did not buy it.

How to hand it over. Only trigger delivery after a verified payment, and keep a record of what was sent. The Delivery module (€297) sends exactly the files purchased, once.

7. After-sales support

A link that no longer works, a copy of an invoice, a question about how to use something: after-sales requests often arrive in small doses, but they count in the decision to come back to you.

How to hand it over. Link each request to the right order, keep a history for each customer, and prepare answers to common questions. The After-sales support module (€497) does this, and leaves disputes, refunds and sensitive requests to you.

What stays with you

Handing over these seven tasks does not mean stepping back from your business. You keep the negotiations, the special cases, the important decisions and, above all, your trade. The assistant takes on the repetition; you keep the relationship.

Where to start

  1. Note down a week of tasks: how many emails, follow-ups, quotes, appointments and invoices.
  2. Choose the task that costs you the most and start with it.
  3. Write down your rules: your prices, your lead times, what must go through you.
  4. Add the other tasks once the first one is running smoothly.

Together, the seven tasks make up the complete pack, at €2,797 instead of €3,576 (save €779, −22%). Each module can also be taken on its own. All prices: VAT not applicable, art. 293 B of the French General Tax Code (CGI). The details are in the Pricing section.

Frequently asked questions

Should I hand over all seven tasks at once?

No. The simplest approach is to start with the one that takes up most of your time, then add the others once the first is running smoothly.

Will my customers know they are dealing with an AI?

Yes. Alex, Work Without Me’s AI sales agent, always introduces himself as an AI, and a person takes over whenever necessary.

Can we meet to discuss it?

Yes, in Paris and Île-de-France, at your premises, or by video if you prefer. All the details are on the Paris and Île-de-France page.
